Catering Events and Conference Planning Manager

Location: South Lake Tahoe, CA

Compensation: $72K - $75K (plus bonus potential)

Overview:

We are searching for a dynamic Catering Events and Conference Planning Manager to oversee every detail of our catered functions and group events. Combining exceptional organization with outstanding client relations skills, you will be responsible for orchestrating memorable experiences while staying within budget and maximizing hotel revenue. Key Responsibilities:

Operational Coordination:

  • Utilize property management systems to manage and retrieve event details and client information effectively.
  • Ensure banquet service teams are equipped with a thorough understanding of service standards, enabling them to showcase and sell the venue’s capabilities.
  • Oversee space block allocations, ensuring optimal usage, labor cost efficiency, and alignment with client needs.
  • Maintain detailed client files with all necessary event information to ensure seamless service delivery.
  • Make sure all departmental policies and procedures are consistently followed, including conducting regular team meetings and maintaining documentation accuracy.
  • Establish and maintain positive guest relations to encourage repeat business and referrals.

Budget and Event Management:

  • Review daily banquet sales alongside the Accounting team to address potential discrepancies.
  • Audit banquet checks to verify the accuracy of guest charges and proper sign-offs on prior events.
  • Track revenues against budgets, monitoring financial performance and ensuring compliance with established policies regarding pricing, payments, and cancellations.
  • Regularly update and enforce event-related procedures, including room capacities and policies, menu pricing, additional service fees, and shipping/receiving processes.

Client Relations:

  • Respond to client inquiries promptly, ensuring all communications are addressed within a 24-hour window.
  • Meet with clients to finalize event details, provide venue tours, and suggest tailored menu options that highlight revenue-generating opportunities.
  • Facilitate collaborations between clients and the Executive Chef for custom menus or special requests.

Event Preparation and Execution:

  • Prepare comprehensive Banquet Event Orders (BEOs), ensuring all key details are finalized and signatures obtained.
  • Oversee event set-up and execution, ensuring all client specifications and hotel standards are met.
  • Participate in daily BEO review meetings, identifying potential challenges and proactively resolving them to ensure success.
  • Conduct post-event follow-ups with clients for feedback and foster long-term relationships for future events.

Team Management and Additional Duties:

  • Monitor the performance and appearance of banquet staff, ensuring service remains professional and efficient.
  • Manage billing and payments in line with hotel accounting standards.
  • Contribute to staff training efforts, including tastings, meetings, and collaborative planning.
  • Stay updated on hospitality and market trends to keep offerings competitive and attractive.


Qualifications:

Educational Requirements & Experience:

  • Bachelor’s degree preferred but not required.
  • Extensive experience in similar roles such as Catering Sales Manager, Event Planner, or Catering/Conference Services Manager is highly desirable.
  • Prior experience within a 4- or 5-star luxury hotel environment is a significant advantage.

Skills:

  • Fluency in English (verbal and written).
  • Proficiency in event management software such as Envision is preferred.
  • Exceptional attention to detail, problem-solving, and organizational abilities.

Physical Requirements:

  • Ability to sit for extended periods (up to 90% of an 8-hour shift).
  • Capable of lifting or carrying up to 20 lbs.
  • Strong vision, including peripheral and depth perception, to manage event spaces effectively.
  • General work conditions include indoor environments with low noise levels.
